What to Put on a Student ID

A student card should be easy to read at a glance and hard to misread. Include only what is needed.

  • School or college name and logo
  • Student's full name
  • Photo, with a plain background
  • ID number or roll number
  • Class, grade or program
  • Validity period or academic year
  • A contact number or address for the school, usually on the back

Layouts for Different Institutions

Different schools need different cards. The templates cover primary and high school students, college and university students, and specialist programs such as law, pharmacy, coding bootcamps, driving schools, music and martial arts. You will also find designs for student councils, student teachers and interns, homeschool students and students who need an accessible design.

Taking Good ID Photos

A good photo makes a card more useful. Use a plain wall as the background, face the camera straight on and keep the lighting even. Crop the photo to show the head and shoulders, and use the same shape and size for every student so the cards look consistent. The photo slot in each template keeps its shape when you replace the image.

Cards for Staff, Members and Others

If you also need cards for staff or clubs, see staff and employee ID cards and membership cards. For general use, browse all ID card templates.

Designing Cards for Different Age Groups

Primary school cards should be bright, simple and easy to read, with a large name and class. High school cards can be more subdued, with the photo, name, class and ID number. College and university cards are closer to adult identification, with a clear faculty, program and expiry date. Use a larger font and strong contrast whenever the card will be checked quickly at a gate or desk.

What Students Use the Card For

  • Entering the campus or building.
  • Borrowing library books and using computers.
  • Taking exams, where invigilators check identity.
  • Getting discounts on transport, shops and events.
  • Collecting school meals or paying at the cafeteria.

A Step-by-Step Plan for a Whole School

  1. Collect a list of student names, classes and ID numbers from the office.
  2. Take photos in one session against the same plain background.
  3. Edit a template once, setting the logo, colors and layout.
  4. Change the name, number and photo for each student, downloading as you go.
  5. Print on card stock, trim and laminate, then hand cards out in class.
  6. Keep a register to track lost and reissued cards.

Privacy for Young Students

Print only what is needed. A name, class and number are usually enough for children, and phone numbers or addresses are better kept in school records. If you add a barcode, link it to a number in your system rather than to personal details. Always follow local data protection rules when you collect and store photos.

Student Card Questions

Can I add a barcode or QR code?

You can upload a barcode or QR code image from another tool and place it on the card.

Can I design the back of the card?

Yes. Many templates include a back design for rules, contact details and a return address.

Do I need design skills?

No. You only need to replace the text and photo.

How long does a student ID stay valid?

Most schools issue a new card each year or print an expiry date matching the academic year.

Can homeschool groups and music or martial arts schools use these?

Yes. There are templates for many kinds of programs, and any can be edited to show your own name and logo.

What size is a standard student ID card?

Most cards follow the standard ID format of about 85.6 by 54 mm, which fits wallets, lanyards and card printers.

Can I print student cards on a regular printer?

Yes, on heavy card stock, then trim and laminate. For long lasting cards, a PVC card printer or a print shop gives a better result.

How do I add a photo to the template?

Replace the sample image with the student's photo. The frame keeps its shape so every card looks consistent.
