Name Place Card Templates for Dinners, Parties and Celebrations
Part of: Certificates & IDs
A place card tells a guest where to sit, and it quietly says you planned the evening with care. Folded tent cards, flat cards and cards with a menu on them all look good on a table and help dinners start smoothly.
Choose a theme, type each guest's name, then download the file as a PDF, PNG or JPG. Wedding designs have their own page, linked below, so you can find styles made for the reception.
Themes for Every Table
The design should match the mood of the event. A few of the themes available include:
- Elegant calligraphy for formal dinners
- Seasonal looks for Halloween, Easter and holiday brunches
- Playful designs for children's birthdays, such as unicorn and rainbow themes
- Baby shower cards with balloons, rattles and polka dots
- Milestone designs for graduations and golden anniversaries, many with a photo spot
- Dinner club cards that combine the guest's name with a short menu or wine pairing
Folding a Tent Card
- Print the card on medium-weight card stock, around 200 to 250 gsm.
- Use a ruler to score a light line along the fold.
- Fold so the name faces outward on both sides, or only the front if you prefer.
- Stand the card on the table and check that guests on both sides can read it.
Seating Etiquette in a Few Lines
Seat guests who do not know each other next to someone who can start a conversation. Separate couples at large events if they will enjoy meeting new people. Place the host at the center of one side and keep the family nearby. Write names the way guests prefer to be called, even if that is a nickname.
Practical Printing Advice
| Number of guests | Suggested method |
|---|---|
| Up to 20 | Print at home on card stock |
| 20 to 60 | Print at a copy shop and trim |
| More than 60 | Ask a print shop to print and cut a batch |
For events where people move around, name tags can work alongside place cards. For your invitations, try our invitation templates.
Planning a Seating Chart That Works
Begin with the guest list and the table sizes. Group family and close friends first, then place people who share interests together. Seat guests who do not know each other next to someone who is a good host. Put elderly guests away from speakers and doors, and children near their parents. Draw the plan on paper, print a copy for the venue and keep the names consistent with your place cards.
Place Card Ideas by Event
| Event | Design idea | Extra detail to add |
|---|---|---|
| Formal dinner | Calligraphy on cream | Table number |
| Holiday brunch | Seasonal artwork like bunnies or pumpkins | Menu or a short message |
| Birthday party | Theme colors and characters | Age or a small joke |
| Baby shower | Balloons, rattles or soft pastels | A prompt for advice |
| Anniversary | Gold accents and a couple photo | Years together |
| Graduation | School colors and a cap | The graduate's photo |
Adding a Menu or a Message
A place card can do double duty. Add a short menu under the name, so each guest sees the courses for the evening. For a supper club, list the wine pairing next to each dish. For a family dinner, add a line of thanks or an inside joke. Keep the text small and the name large so the card still serves its main purpose.
Materials and Finishes
- Choose uncoated or matte card stock for a natural, writable surface.
- Use a bone folder or the back of a spoon to make a crisp fold.
- Pick a font size of at least 18 points for names so seated guests can read them.
- Print an extra few cards for last minute changes.
A Calm Setup Routine on the Day
Lay out the cards on a tray in table order the day before. On the day, place them after the plates and glasses are set, so nothing moves them. Keep a small stack of blank cards and a pen nearby, for guests who arrive unexpectedly.
Place Card FAQs
Can I add a photo to the card?
Yes, many designs include a photo frame, especially the graduation and anniversary versions.
How many cards fit on one page?
That depends on the design size. Check the preview, or ask your print shop to fit several cards on one sheet.
Can I use these for events other than dinners?
Yes. They work for meetings, workshops, classrooms and any gathering where seats are assigned.
How big should a place card be?
A tent card is often about 3.5 by 2 inches when folded. Names should be at least 18 points so seated guests can read them.
Should place cards be printed on both sides?
For round tables, yes, so the name can be read from every seat.
How far ahead can I prepare place cards?
Once the guest list and seating are final, usually a week before. Print a few extra and keep blank cards for changes.
What if guests have dietary needs?
Add a small symbol or short note under the name, such as vegetarian or nut free, so servers know without asking.
Can I write names by hand instead of printing them?
Yes. Print the design with a blank name area and add names in pen or calligraphy, which gives a handmade look.
