Choose a Timesheet by the Way You Work

A timesheet for a nanny is not a timesheet for a nurse. Start with the group that sounds most like your situation, then look for the closest layout.

What a Good Timesheet Records

A timesheet is a short, honest record of time. At a minimum it shows who worked, on which dates, when each shift started and ended, how long any unpaid break lasted and how many hours that adds up to. Good ones add the details that stop arguments later: a pay period, a rate, a manager and a signature from both sides.

Weekly, Biweekly and Monthly Timesheets

Match the sheet to your pay cycle. Weekly pages have room for a note and a signature. Biweekly pages show two weeks side by side with a total for each. Semi-monthly and monthly pages list every date, so there is no doubt which day an entry belongs to. Choose the shortest period your payroll allows.

Overtime, Pay and Billing Sheets

Some pages go further than hours. Overtime sheets split regular and extra time, pay sheets show earnings at an hourly rate, and billing sheets turn hours into a statement with tax and a total due. Rates, tax and overtime rules in the samples are examples, so replace them with your own.

Shift Schedules, Rosters and Attendance Records

Planning is the other half of time. Colour coded weekly schedules and monthly rosters show who works when, rotation pages repeat a pattern across crews, and availability and swap forms keep changes written down. Sign-in sheets, registers and attendance records show who actually turned up.

Time Off, Overtime and Lateness Trackers

Single purpose trackers keep balances straight. Paid time off and comp time pages carry a running balance after every entry, and sick day and late arrival logs show patterns early. Keep them respectful and factual, and share them only with people who need to see them.

How to Fill In a Timesheet Template

  1. Open a template and click any text to retype it with your own details.
  2. Double click a table to edit its cells, and use Add Row if you need more lines.
  3. Enter real start and end times, then work out the hours.
  4. Download a PDF to print and sign, or an image to send.
  5. Keep signed copies with your payroll or project records.

Tips for Accurate Time Records

Write times when they happen, not from memory on Friday. Use one format for hours, either decimals or hours and minutes, and keep to it. Note breaks in the same way every day. Ask a second person to check totals before pay is calculated.

Printing Timesheets and Choosing a Paper Size

Most pages are US Letter, with several in A4 and a number in landscape for wide grids. One is a narrow card for a rack. Print at actual size, and choose a setting that includes background colours if you want the headers to appear.

Timesheet Template FAQs

Do the templates calculate hours and pay for me?

No. Every table holds typed text, so the sample totals are already worked out for you and you retype them when you change a figure. Check your sums before you sign or send a page.

Can I edit the tables in the templates?

Yes. Every table is a real editable table. Double click it to retype cells, add rows or change the number of columns. Colours and fonts can be changed too.

Are the sample names, rates and figures real?

No. All names, companies, dates, rates and totals are made up for illustration. Replace them with your own details before you share a page.

Are the overtime and tax rates correct for my country?

They are examples only. Overtime multipliers, tax rates, sick pay and mileage rates differ by place and employer, so use the rules that apply to you.

Does a timesheet count as an official payroll or legal record?

It is a clear record of hours, not legal advice. Some jobs, such as driving, need official forms or devices, so check what your regulator or employer requires.

Can I use a template for a team?

Yes. Schedules, rosters, registers and summary pages are made for several people on one sheet, and individual sheets can be collected into a team summary.

Can I add my own logo and colours?

Yes. You can place your logo on the page and recolour headers and accents to match your brand.

What sizes are the templates and can I print them at home?

Most are US Letter, with some in A4 and some in landscape. Download a PDF and print at actual size on plain paper, or card for the time card.

How long should I keep completed timesheets?

Retention periods depend on your country and your employer. Ask your payroll provider or a local adviser, and keep signed copies somewhere safe in date order.

Can I use a template for a job that is not listed?

Yes. Pick the closest layout and retype the headings. A weekly sheet, a daily log or a project tracker can be adapted to most kinds of work.
