Most arguments about timesheets are really arguments about lunch. Did the thirty minutes get taken? Was it forty-five? Was it paid? A single break column hides those answers, because it only records how long someone was away, not when. This timesheet records all four moments of a normal working day: clock in, lunch out, lunch in, and clock out. The hours are then the morning plus the afternoon, with lunch clearly left out.

A Plate and Fork in a Burnt Orange Header

The top of the page is a block of burnt orange, with a white dinner plate on the right and a simple fork beside it, drawn from plain shapes. The words Timesheet sit in small peach type above Lunch Break in large white Young Serif. The motif is friendly and instantly tells you what makes this timesheet different from the ordinary kind.

Four Times Instead of Two

Clock inStart of the morning8:30 AM
Lunch outWhen lunch begins12:15 PM
Lunch inWhen you return1:00 PM
Clock outEnd of the afternoon5:00 PM
HoursMorning plus afternoon7.75

The morning is 3 hours 45 minutes and the afternoon is 4 hours, which makes 7.75.

The Week in the Sample

The sample employee, Carla Ruiz, works Monday to Friday with lunches of varying lengths. Monday is 7.75 hours, Tuesday 7.75, Wednesday 8.00, Thursday 7.50, and Friday 6.75, which totals 37.75 hours. Saturday and Sunday rows are present but empty. The total hours row at the foot is shaded peach, and the figure stands out in bold.

How to Work Out Hours From Four Times

  1. Subtract clock-in from lunch-out to get the morning.
  2. Subtract lunch in from clock out to get the afternoon.
  3. Add the two periods together.
  4. Convert minutes to a decimal, so 45 minutes is 0.75.
  5. Write the result in the hours column.

A How to Fill This In Panel

A peach panel under the table explains the process in plain words for new staff: write the time you start work, the time you leave for lunch, the time you come back, and the time you finish, and hours are the morning plus the afternoon so lunch is not counted. Having the instructions on the page saves a manager from repeating them and helps temporary workers fill it correctly the first time.

A Paid Break Field in the Header

The details strip includes a field called Paid break, with the sample entry Lunch is unpaid. If your workplace pays a rest break, such as a ten-minute tea break, say so there. It prevents the common confusion where a worker assumes all breaks are paid, and an employer assumes none are. Anything written on the page becomes a shared understanding.

Why Recording Lunch Times Protects Both Sides

In some places, employers must provide a meal break after a certain number of hours and keep proof that it was taken. A record of lunch out and lunch in times is simple evidence. For workers, it shows that a missed or shortened lunch was noticed, which matters if overtime or a break premium is owed. Check the rules that apply to you.

Notes for Skipped or Shortened Breaks

A notes box with ruled lines gives space for explanations, such as working through lunch on Friday to meet a delivery. If a lunch is skipped, write the same time in lunch out and lunch in, or mark the row with the word none, and explain in the notes so the hours are not confusing.

Colours, Fonts and Layout Changes

Everything is editable. Recolour the orange header to match your brand, or replace the plate with your own logo. The table is a real Table object, so you can change column widths, fonts and fills. If your business has a split shift with two lunches, add extra columns and reduce the font size slightly.

Signatures and Filing the Week

Two lines at the foot are for the employee and the manager. Print the final copy, sign it, and file it with payroll. If your sheets are kept electronically, save the PDF with the week ending date first in the file name so that they sort correctly.

Printing the A4 Lunch Break Sheet

The page is A4 portrait. The orange header uses a lot of ink, so for draft copies you can change its fill to a light peach. In black and white, the table headers become dark grey, and the numbers remain easy to read.

Spotting Missing Lunch Entries at a Glance

With four time columns, a missing entry stands out immediately because a row has a gap. A manager can run a finger down the lunch out and lunch in columns and see who forgot to record a break. Catching the gap on Friday afternoon, while memory is fresh, is far easier than reconstructing a lunchtime two weeks later.

Setting a Clear Lunch Policy Alongside the Timesheet

A timesheet records what happened, but a policy says what should happen. Pin your lunch rules beside the sheet: the minimum break length, whether lunch is paid, whether it may be taken at the desk, and who approves exceptions. When the policy and the sheet agree, there is nothing left to argue about, and new starters learn the routine faster.

Training New Staff to Record Lunch Times Honestly

Explain on day one that the lunch columns protect the worker as much as the employer. Show a filled example, ask staff to write times as they happen rather than at the end of the week, and thank people who record a missed lunch. A culture where honest entries are welcome produces better records than one where gaps are punished.

Lunch Break Timesheet Questions

Can I use it if I take two breaks?

Add two extra columns for the second break, or note the shorter break in the notes box.

What if my lunch is paid?

Change the paid break field to say so, and add the lunch time back into the hours.

Does the template calculate the hours?

No. The sample figures are worked out for you. Retype the hours column when you enter new times.
