Shippers do not buy trucks; they buy freight that arrives on time and in one piece. A transportation proposal should show your fleet, your safety record, and your rates by lane, so a logistics manager can compare you with confidence. This Transportation Services Proposal Template packs all of that into six strong Word pages, opening with a highway disappearing into the night.

Inside the Document

The cover shows a dark road in perspective with yellow lane markings and a framed photo in the top corner. Company and Fleet is a magazine-style page with a wide photo and two columns: who you are, what you move, and where you go, next to a fleet table and a quote from your fleet manager. Transport Services is a dark page listing six freight services, followed by three performance rings, four key figures, and a four-step booking bar. Safety and Operations carries a large outline 03 with zig-zag rows covering driver vetting, maintenance, telematics and compliance, then a driver standards table. Rates uses a dark side panel for quick reference prices next to a lane table and a comparison of spot, contract and dedicated options. The framed final page holds terms, next steps, signatures and a contact panel.

Asphalt, Road Yellow and Sky Blue

The palette is taken straight from the road: asphalt grey, lane-marking yellow and a touch of blue. Converging road lines repeat in the headers. Headings use Arial Narrow, a condensed typeface that fits long words such as transportation neatly, with Calibri for body text.

Freight Terms Your Client May Ask About

  • Full truckload (FTL): a whole trailer for one customer's freight.
  • Less than truckload (LTL): shared trailer space, priced per pallet.
  • Detention: a charge when loading or unloading runs past the free time.
  • Fuel surcharge: an adjustment when diesel rises above the base price.
  • Proof of delivery: the signed docket or photo that confirms delivery.

Rates That Reflect Real Lanes

Price your regular lanes, not an average mile. The rates page lists each lane with distance, rate, and cost per load, so the shipper sees their own routes. State the fuel price your rates assume and how the surcharge works, which prevents disputes when prices move.

Updating the Template

Replace the bold [placeholders] with your fleet numbers, lanes, rates, and insurance limits. All tables can take extra rows. Click the cover photo or the magazine photo and choose Change Picture to show your trucks. The quick reference figures in the side panel are text boxes you can retype.

Proving Your Safety Record

Large shippers are responsible for the carriers they use, so they ask about safety before price. Fill in the driver standards table with your real checks, add your crash record to the key figures, and attach your insurance certificates when you send the proposal. Being open about safety builds trust faster than any discount.

Carrier Questions

Can I use it for passenger transport?

Yes. Replace the fleet table with buses or vans and rewrite the services for charters and shuttles.

Where do detention charges go?

They are in the terms on the final page, with the free loading time shown in the rates panel.
