Furniture orders are expensive, slow, and physical. A conference table might take ten weeks to make, arrive in a crate that will not fit the lift, and turn out to be the wrong veneer. Interior designers, office managers, hotel and restaurant owners, and facilities teams fitting out a new floor all need an order that pins down finishes, fabrics, and sizes precisely, and spells out how the pieces will be delivered and installed. This Furniture and Fixtures Purchase Order is made for that job, with a look that suits the subject.
A Walnut Sidebar and a Classic Serif
The template is US Letter portrait, 8.5 x 11 inches. A walnut-brown sidebar runs down the right edge of the page, patterned with darker wavy grain lines and a faint knot, and edged in brass. Near its top, a cream circle holds an armchair icon, and running down the length of the sidebar, rotated to read upwards, are the words FURNITURE & FIXTURES in spaced Cormorant Garamond capitals.
On the white page, Purchase Order is set large in Cormorant Garamond Bold, with Furniture · Lighting · Interior fit-out in brass capitals beneath and a rectangular logo placeholder to the right. The body text uses Karla, and the page includes:
- PO No., Date, Project, and Designer.
- Vendor, and Deliver & Install At, including loading dock and freight elevator notes.
- Six Delivery Services checkboxes.
- A 14-row table with a walnut header: Item, Finish/Fabric, Dimensions (W x D x H), Qty, Unit Price, and Amount.
- A Payment Schedule box beside totals for Merchandise, Delivery & Installation, Sales Tax, and a walnut TOTAL row.
- Signature lines, a brass rule, and a reminder to inspect every piece on delivery, with our logo.
How to Write Furniture Dimensions
The Dimensions column uses the furniture trade’s standard order: width x depth x height. Getting this right, and measuring the space and the route to it, prevents the most painful furniture mistake of all: a piece that will not fit.
| Piece | W | D | H | Check before ordering |
|---|---|---|---|---|
| Lounge armchair | 30 in | 32 in | 31 in | Clearance around it for walking |
| Conference table | 120 in | 48 in | 29 in | Lift size, door widths, chair clearance |
| Task chair | 26 in | 26 in | 40 in | Desk height and armrest clearance |
| Credenza | 72 in | 18 in | 30 in | Wall length, sockets, window sills |
| Pendant light | 18 in diameter | Ceiling height and drop length | ||
For large pieces, also measure lift doors, corridor turns and stairwells, and ask the vendor whether the item ships assembled or knocked down.
White-Glove Delivery, Explained
The Delivery Services checkboxes describe the level of service you are paying for:
- White-glove delivery: the delivery team carries items into the room you choose, rather than leaving them at the kerb or dock.
- Assembly & installation: pieces are assembled, placed and levelled; lights are hung (electrical connection may need a licensed electrician).
- Debris & packaging removal: crates, cartons and wrapping are taken away.
- Inside delivery only: goods are brought inside the building, but not assembled or placed.
- Freight elevator booked: confirms the building’s goods lift is reserved for the delivery window.
- Protect floors & walls: the crew lays floor protection and pads corners during the move.
Ask the vendor to confirm which services are included in the quoted delivery price, and which cost extra.
The Sample Fit-Out and Its Payments
The sample furnishes a headquarters lobby and boardroom: four oatmeal bouclé lounge armchairs, a walnut veneer conference table, ten graphite mesh task chairs, three brushed brass pendant lights, and a walnut and white lacquer credenza. The merchandise comes to 11,135.00. Delivery and installation add $ 650.00; sales tax at 8.25% on the merchandise is $ 918.64, and the total is $12,703.64. Because much contract furniture is made to order, the payment schedule asks for a 50% deposit with the order and the balance after installation. Calculate your own figures before typing them in; the table does not do the sums.
Specifying Finishes and Fabrics
The Finish / Fabric column is where most furniture errors start. Be as precise as the vendor’s catalogue allows: the veneer species and stain, the metal finish, the fabric name and colourway, and any grade or code. If you approved physical samples, write their reference numbers in this column, and keep the samples until the order arrives so you can compare.
Personalising the Template
- Replace the logo placeholder with your company or studio logo using Replace Image.
- Edit the PO number, date, project name and designer.
- Complete the vendor and site blocks, including dock and lift details.
- Tick the services you need; ticked boxes are walnut, unticked are white.
- A double-click on the furniture table opens Edit Table Data for your items; add lines with + Row.
- The armchair is an editable vector. The sidebar’s grain is grouped, so the whole panel recolours at once, for example to oak or ebony.
Receiving and Snagging on Installation Day
Walk the space with the installer before signing off. Check each piece against the order for finish, fabric and size, look for scratches, chips and loose fittings, and try every drawer, door and chair mechanism. Note any faults on the delivery receipt, photograph them, and agree dates for replacement parts. Holding back the final 50% until the snag list is cleared, as the payment schedule allows, gives the vendor a good reason to fix things quickly.
Printing a Furniture Order
Print on US Letter at actual size, or fit to page on A4. The walnut sidebar takes some toner, so for internal working copies you might print in greyscale; send the colour PDF to the vendor.
Designer and Buyer Questions
Can I attach product images?
Yes. Add a second page to the design with images of each piece, or attach the vendor’s specification sheets to your email.
Is this suitable for residential projects?
Yes. Change Project to the client’s name and the delivery details to their home.
