What should a reading progress report actually show?

Most reading reports say “reads well” or “needs practice” and stop there. A useful one separates decoding, fluency, comprehension and stamina, records what the child has been reading, and tells the family what to do tonight. That is exactly how this reading progress report template is built, on one warm, book-themed page.

Why the sidebar matters

The dark brown column on the left holds the numbers families ask about most. A large orange badge shows the guided reading level, and below it sit words per minute, books read this term and comprehension accuracy. The student’s round photo, name, grade, term and teacher complete the identity block, so the report is instantly personal.

How do I fill in the reading level box?

Click the large letter and type the level you assessed. It works with guided reading letters, Lexile ranges, DRA levels or a grade-equivalent score. Then update the three statistics underneath. Because they are plain text boxes, you can rename them: “Sight words known” or “Pages per night” fit just as well.

How does the skills table work?

Seven skills run down the left: phonics and decoding, fluency, comprehension, vocabulary, sight words, retelling a story and reading stamina. Four columns run across: Beginning, Developing, Secure and Advanced. Type a tick in the column that matches the child. The table is a real editable table, so you can add phonemic awareness, delete stamina or rename anything to match your own assessment language.

What goes in the reading log?

A running list of finished books, each with author, level, date and a star rating. The rating is deliberately about enjoyment, not difficulty: a child who gives a book four stars is telling you something a level letter never will. Four sample rows are filled in, and a blank row is ready for the next title.

Reading goals and teacher comments

A teal box holds two or three goals, kept short enough for a child to repeat: read for twenty minutes every night, practice long vowel patterns, retell stories with a beginning, middle and end. Below it, ruled lines leave space for a personal comment, such as “Liam has grown into a confident reader this term and loves series books.”

Home reading tips that families actually use

The bottom of the page carries three practical suggestions: read aloud and take turns, ask “what do you think will happen next?” before turning a page, and visit the library weekly. Change them each term so they stay fresh. A tip that matches the child’s current level is worth ten generic ones.

Who will get the most from it?

  • Classroom teachers in grades K to 5 running guided reading groups
  • Reading specialists and interventionists who report to teachers and families
  • RTI and special education teams tracking reading goals
  • Tutors and learning centers focused on literacy
  • Librarians running summer reading challenges
  • Homeschool parents building a reading portfolio

Cheat sheet: five sentences to borrow

  • “Reads with expression and self-corrects when a word does not make sense.”
  • “Ready to move from Level L to Level M texts with support.”
  • “Please practice retelling after each book: beginning, middle, end.”
  • “Reading stamina is growing; he now reads for fifteen minutes without a break.”
  • “Ask a question before turning the page to build comprehension.”

Customizing it in a few minutes

Open the template and click the round photo, choose Replace Image and add the student’s picture; the frame keeps its size and crops the photo to fit. Type the sidebar details, change the level and statistics, place ticks in the skills table, update the log and write your goals. To compare terms, keep one file per term and save each as a PDF.

Paper, PDF or picture?

The page is US Letter, 8.5 x 11 inches, and prints well in color or grayscale. Download the PDF for printing at actual size, or the PNG or JPG to send by email. The warm cream background prints softly, so it will not use heavy ink.

More questions

Is it suitable for older readers?

Yes. Swap the skills for inference, text structure or author’s purpose and it suits grades 4 to 8 and intervention groups.

Can I use it for bilingual readers?

Absolutely. Add a second log for the home language or note the language in the title column.

Can I recolor the sidebar?

Yes. Select the sidebar shape and choose any color to match your school.

Reading levels, decoded for families

Level letters and numbers mean little to most parents, so use the badge to open a conversation instead of ending one. A few notes you can borrow:

Guided reading letters

Letter systems move from early emergent texts with very few words per page towards longer chapter books. Tell families that a child moving from L to M is reading slightly longer, more complex stories with more varied vocabulary.

Lexile bands

A Lexile range describes text difficulty as a number. Suggest that parents look for books within the range printed in the badge, rather than treating a single number as a limit.

Words per minute

Fluency counts help you see change over time, but they never tell the whole story. A fast reader who does not understand the text is not reading well, which is why the sidebar shows comprehension accuracy beside speed.

Building a reading portfolio across the year

Because each term’s report follows the same layout, a year of reports forms a portfolio. Save one PDF per term and put them side by side: the badge letter rises, the log grows, the ticks move right. Families are often moved to see it, and it is compelling evidence for teams considering intervention or enrichment. When a student transfers, the reports give the next teacher a running start.

Using the log to build motivation

The star rating in the reading log turns bookkeeping into a small celebration. Ask children to add their own rating before you type it in, and notice which authors and series earn five stars. That preference data helps you recommend the next book, and a child who is recommended a book they love reads more. The blank row at the bottom of the table is a quiet invitation to keep going.
