Employment Certificate Templates You Can Edit Online
Part of: Certificates & IDs
Employees ask for proof of employment more often than most HR teams expect. A bank wants it for an account, an embassy wants it for a visa and a landlord wants it for a rental. These editable templates help you issue a clear, professional letter without rebuilding it each time.
Pick the layout closest to the situation, type in the employee's details, add your company name and signature, then download it as a PDF, PNG or JPG ready to print on letterhead.
Who Asks for an Employment Certificate
| Requested by | Usually wants to see | Template to look for |
|---|---|---|
| Banks and lenders | Job title, start date and monthly salary | Certificate for loan, credit card or bank account |
| Embassies | Position, length of service and leave approval | Certificate for visa application |
| Landlords | Employment status and income | Certificate for rental application |
| Schools | Parent's employer and position | Certificate for school admission |
| Insurance companies | Employer details and dates of service | Certificate for insurance claim |
Salary Certificates
A salary certificate adds the employee's pay to the confirmation of employment. You will find basic, monthly, annual and executive versions here. Decide in advance whether to show gross or net pay and whether allowances are included, then keep that approach consistent for everyone in the company.
Templates for Different Kinds of Workers
Employment looks different across industries, so the templates reflect that. You can choose layouts written for administrative staff, factory workers, health care workers, IT professionals, teachers, security personnel, housekeeping staff, freelancers, remote workers and overseas workers. There are also versions for part-time, temporary, contractual and project-based roles, and for employees who have resigned or retired.
What a Reliable Certificate Includes
- Company name, address and contact details at the top.
- The issue date and a reference number if you use one.
- The employee's full name and job title.
- Start date and, if relevant, end date or current status.
- Salary or a short description of duties, only if the receiver needs it.
- The name, position and signature of the person issuing the letter.
Practical Tips for HR Teams
Print on company letterhead when you can, and sign in ink. Keep a copy of each certificate you issue, with the date and the name of the person who asked for it. If the document is going abroad, check whether the receiving office needs it stamped or notarized, because a template cannot do that for you. If you do not have a letterhead yet, our letterhead templates are a good place to start.
A Sample Structure You Can Follow
Most employment certificates follow a simple pattern, and you can use it even if you start from a blank layout. Open with the company details and date. Add a heading such as Certificate of Employment. Then write a short paragraph, for example: "This is to certify that Ms. Sara Khan has been employed with Northfield Trading as a Sales Executive since 3 March 2021 and remains in our employment as of the date of this letter." Close with a line saying the certificate is issued at the employee's request for a stated purpose, followed by the signatory's name, title and signature.
Experience Certificates and Resignation Cases
An experience certificate is issued when an employee leaves, and it covers the period of service, the roles held and, if you choose, a short comment on conduct. Keep the tone neutral and factual. If the employee resigned, you can state that they left on their own request, and add a line wishing them well. Templates for resigned and retired employees are included for this reason.
Salary Details: What to Reveal and When
| Purpose | Show salary? | Tip |
|---|---|---|
| Bank loan or credit card | Usually yes | State gross or net clearly |
| Visa application | Often yes | Include leave approval dates if relevant |
| Rental application | Sometimes | A range or monthly income is often enough |
| School admission | Rarely | Position and employer are usually enough |
| General proof of work | No | Keep it to role and dates |
Good Practice for HR Records
- Keep a log of every certificate issued, with date and purpose.
- Number your letters so authenticity can be verified.
- Have the same person sign every certificate where possible.
- Refuse to issue a certificate for a purpose the employee cannot explain.
- Store a PDF copy in the employee file.
Customizing the Template
- Replace the company name, address and logo.
- Choose the template closest to the purpose, for example a visa or bank account version.
- Edit the paragraph so names, dates and roles are correct.
- Check spelling twice, then add the signatory details.
- Download the PDF and print on company letterhead.
Questions About These Templates
Are these templates legally binding?
They are layouts only. The wording and the facts must come from your company records, and the letter becomes valid when an authorized person signs it.
Can I add the company logo?
Yes. Upload the logo and place it in the header, then adjust the size.
Can I edit the paragraph text?
Yes. You can rewrite any sentence so the letter matches the real situation.
How long is an employment certificate valid?
Many institutions want a letter issued within the last one to three months. Check what the receiving office requires before you issue it.
Do I need a company stamp?
Many offices expect a stamp or seal in addition to the signature. Add it by hand after printing if your company uses one.
What is the difference between an employment certificate and an experience letter?
An employment certificate confirms current or past employment on request, while an experience letter is usually given when someone leaves and describes their role and period of service.
Should I include the salary on every certificate?
Only when the receiver needs it, for example a bank or a visa office. For general proof of work, role and dates are enough.
Who should sign an employment certificate?
An authorized person such as an HR manager, a director or the employee's direct manager, according to your company policy.
Can I use the same template for different employees?
Yes. Change the name, job title, dates and any salary details for each person, and download a separate file.
