Why Schools Ask for a Parent’s Employment Letter
Some schools, nurseries and colleges ask for proof that a parent or guardian is employed. The reasons vary: to confirm income for fee payment plans, to check eligibility for a subsidised place, or to confirm that a family lives or works in a catchment area. The request often reaches parents at short notice. This certificate gives the employer a ready made format that states the job, the dates and whether the work is full time or part time, and says that it is issued for a school admission.
Purple Gradient and Magenta Heading
The certificate is Letter size landscape, 11 x 8.5 inches. A tall purple and magenta gradient panel slopes in from the left edge, and a smaller piece of the same colours closes the bottom right corner. At the top centre, a purple and pink square logo with COMPANY NAME precedes the heading, Certificate of Employment in a script, with FOR SCHOOL ADMISSION in strong magenta capitals.
The text says To Whom It May Concern, then that [Employee’s Full Name] has been employed with [Company Name] as a [Job Title] from [Start Date] to the present. A second paragraph says that as of the date of the letter, the employee holds a full-time or part-time position and has demonstrated professionalism and commitment to the role. A third line says the certificate is issued on the employee’s request for the purpose of school admission. The company address and an AURTHORIZED SIGNATURE line sit at the bottom.
What the School Usually Needs
Check the application guidance before you issue the letter. Some schools want salary details, some want only the job title and dates, and some want the employer’s contact number. This template leaves salary out on purpose, which protects the employee’s privacy. If the school asks for income, add one sentence with the amount, but only with the employee’s agreement.
Choosing Full Time or Part Time
The text says “holds a full-time/part-time position.” Keep only the right one and delete the other and the slash. If the employee works variable hours, say so plainly, for example “works on a flexible schedule averaging thirty hours per week.”
Small Fixes
- Correct AURTHORIZED SIGNATURE to AUTHORIZED SIGNATURE.
- Replace the sample address in the footer.
- Replace “&” in the sentence about professionalism with the word “and” if your style prefers it.
- Add the school’s name if you wish, so the letter cannot be reused elsewhere.
Tips for Parents Requesting It
Ask the employer a week ahead, tell them the deadline and the school’s name, and provide the exact job title and date you started. Keep a scanned copy. If you have two jobs, you may need a letter from each.
Printing the Gradient Panels
The gradient panels run off the edge, so use Fit to page. Employers who prefer plain letters can paste the text onto their own letterhead. Sign in ink and add a stamp if your company uses one.
