A Document Security Staff Often Need
Security work is frequently contract based, with guards moving between sites and agencies. When a guard applies for a new post, a licence renewal or a rental home, a certificate of employment is the evidence that the work was real and continuous. Employers value the document too, because it shows exactly what they confirmed, rather than a vague phone call. This template is written specifically for security officers, guards and supervisors.
What the Letter Looks Like
The page is Letter size portrait, 8.5 x 11 inches. Two thin gold vertical lines run down the left and right sides, leaving a wide white column in the centre. The title is set in gold serif capitals: CERTIFICATE OF EMPLOYMENT, and beneath it For Security Personnel in a lighter weight. The body text is black, in Noto Sans. In the lower right corner, a red wax seal with a trailing ribbon sits near the signature area.
The letter starts with a Date line and To Whom It May Concern, then says the person, with nationality, has been employed as security personnel at the company. A bulleted list covers Position, Department (set to Security Services), Employment Type, Employment Duration, Work Hours and Salary. A paragraph describes professionalism and dedication to safety and security, and lists responsibilities: monitoring access points, conducting patrols and responding to incidents effectively. The closing says it is issued at the request of the employee.
Position Titles to Use
- Security Officer
- Security Guard
- Safety Supervisor
- Control Room Operator
- Site Security Manager
Be Specific About Duties and Shifts
For this trade, details matter. If the person worked night shifts, say so. If they held a licence or an armed or unarmed post, say so in the position line. If they worked on a particular site, such as a hospital or a shopping centre, you can name it. Work Hours is a useful line, because security staff often work twelve hour shifts and rotating patterns, and the number of hours per week tells the reader what the job involved.
One Phrase to Adjust in the Duties Sentence
The sample sentence says responsibilities have included monitoring access points, “conducted patrols,” and responded to incidents. Change “conducted patrols” to “conducting patrols” so that the list reads smoothly.
Who Signs and Why It Matters
The signature block has a name and a designation. For security agencies, this is often an operations manager or a contract supervisor. If the guard worked at a client’s site, the agency can issue the certificate, and the client may add a short note. Print on the agency’s letterhead to avoid questions.
Printing the Gold Line Letter
The page is mostly white, so any office printer will do. Ordinary 90 to 100 gsm paper is enough, and a blue pen shows the signature is original. The wax seal is a picture, and it prints best on a good quality setting. Delete it if you prefer an official stamp instead.
Records for Licensing Bodies
In many places, security staff are licensed, and renewals need proof of hours or employment history. Keep a file of issued certificates with the guard’s licence number, so that a licensing body’s query can be answered fast.
Similar templates include the temporary employees certificate and the project-based employees certificate. The full list is in employment certificates.
