Why Annual Figures Matter
Some organisations do not want a monthly number at all. Mortgage lenders, visa offices, university funding teams and insurers often ask for annual income, because it smooths out bonuses and seasonal changes. An annual salary certificate answers that question directly. It states the basic annual salary and the total annual salary including allowances and bonuses, and says that the salary is paid on an annual basis.
Design in Brief
The page is Letter size portrait, 8.5 x 11 inches. Two thick black vertical bars run down the left and right edges, which frame the white page like a binding. At the top, To whom it may concern is set in a clean, plain face, with a small ornamental divider of curls and flourishes beneath it. The text below is black on white, with bold square brackets for each value you must fill.
Reading the Text in Order
| Paragraph | What it says |
|---|---|
| First | Names the employee, ID, company, position and employment start date |
| Second | Gives basic annual salary and total annual salary including allowances and bonuses, with a note on deductions and taxes |
| Third | States that pay is annual and credited to a named account at a named bank and branch |
| Fourth | Says the certificate is issued on request for reference and official purposes |
| Closing | Offers to answer questions and gives the signer’s details |
A Practical Note on Pay Cycles
The wording says salary is paid on an annual basis, which is a literal statement about the pay cycle. In many companies, staff earn an annual salary but are paid monthly. If that is your case, retype the sentence to say “The employee’s annual salary is paid in twelve monthly instalments.” That is accurate, and it avoids confusion if the lender compares the letter with monthly bank deposits.
Preparing the Numbers
- Take the base figure from the employment contract.
- Add regular allowances, such as housing and transport, for the annual total.
- Include guaranteed bonuses only if they are part of the contract.
- State the currency, and write the figure in words if the receiving organisation prefers it.
- Have payroll or finance check the totals before signature.
Presentation Details
The black side bars reach the page edge, so print with Fit to page if your printer cuts into them, or ask for a borderless print. For a simpler printout that uses less ink, copy the text into a plain letter. Add your logo and address at the top if the letter will go outside the company.
Keeping Records
Keep a copy of every certificate with the date and the name of the person who requested it. If a lender calls to confirm, you can check the figure quickly and answer consistently.
An Example Sentence for the Annual Total
If you want a clear line, you can write: “The employee’s basic annual salary is 36,000, and the total annual salary including allowances and bonuses is 42,500.” Using whole numbers and a stated currency avoids doubt. Add a note on any variable element if the reader will compare the letter with payslips.
For a monthly version with a separate total, see the monthly salary certificate. For a bordered, plain layout, see the basic salary certificate. More are in employment certificates.
