Questions About the Monthly Salary Certificate
What is different about this version?
Most salary letters give one figure. This one gives two. The second block says that the employee’s basic monthly salary is a stated amount, and that the total monthly salary including allowances and bonuses is another. Lenders and landlords often want both, because the second figure shows what the person actually receives each month. If you pay housing, transport or regular bonus amounts, this layout saves you from writing a separate explanation.
What does the page look like?
It is Letter size portrait, 8.5 x 11 inches. A black arrow shaped banner reaches in from the right edge at the top, with the words TO WHOM IT MAY CONCERN in white capitals. A thick black curved bar rises up the lower left side and runs along the bottom edge. The rest of the page is white with plain sans serif text, which keeps the letter easy to read and easy to photocopy.
Which fields must I fill in?
The brackets mark each blank: employee name, employee ID, company name, position, start date, basic monthly salary, total monthly salary, bank account number, bank name and branch name. The closing block asks for your name, title, company name, address and contact information. Two of the brackets are not in bold in the template, which is only a formatting detail, so check that the type looks even after you fill them in.
Do I have to say the salary is paid monthly?
This version already says it, so it suits monthly paid staff. If your company pays on another cycle, use a different template or retype that sentence before you send it.
How should I handle allowances?
Add up only amounts that are regular and contractual, such as a housing or transport allowance, and say so if the document needs to be precise. Leave out one off payments. If bonuses vary, either use an average that payroll can support, or describe the bonus in words so that the reader does not assume it is guaranteed.
Can I add a line about deductions?
The text already notes that the amount is subject to deductions and taxes under company policy and tax rules. If a bank needs a net figure, add one extra sentence with the net amount from the latest payslip, and check that it matches.
What should the signer include?
The signature block should name a person who can answer questions, usually an HR manager or a payroll supervisor. Add a direct phone number or an email address. Banks sometimes call to confirm.
How do I print it?
Use your company letterhead if you have one, or place the logo above the black banner. Print on 90 to 100 gsm paper. The thick black bar at the bottom left uses some ink, so run a test if you print many copies. Sign in blue ink.
Where are the other versions?
For a basic salary figure only, see the basic salary certificate. For an annual presentation, see the annual salary certificate. The wider range is in employment certificates.
