Three Blanks and a Signature
This salary certificate is built as a fill-in form. The sentence that carries the information has three gaps: the job title, the start date and the monthly salary in words. Everything else is already written. That makes it fast to use in a busy office, and the brown frame and rosette make it look more like a presentation certificate than a form letter. Use it when you want the letter to feel official and warm at the same time.
A Closer Look
The certificate is A4 landscape, 297 x 210 mm. A deep brown frame with a gradient from dark chocolate to amber runs along the top left and bottom right, and a thin outline follows the inner edge with angled cuts at the corners. A small ornament decorates the top right corner. In the centre, SALARY CERTIFICATE is printed in brown capitals, with a dark brown ribbon banner below it carrying To Whom It May Concern in white.
The introduction says This is to certify that, followed by the sample name Mr. First, Last Name in a brown serif. The next lines say the person is working with the company under the title of a blank, since another blank, and that the person is drawing a monthly salary of a blank in words. A final line says the letter is issued at the specific request of the employee, without accepting any liability on behalf of the company. At the lower left, a brown and gold rosette sits beside a manager block with name, department, phone and company. Date and Signature lines stand on the right.
Wording Points to Tidy Up
- The text refers to “our esteem company.” Retype it as “our esteemed company” or simply “our company.”
- The sentence uses “he” and “this gentleman.” If your employee is a woman or prefers another pronoun, change these words, or rewrite the line to use the person’s name.
- The amount is requested in words. Add the figure in numbers in brackets so that nothing is misread, for example “Three thousand dollars (3,000).”
The Liability Sentence
The final sentence says the company issues the letter without accepting liability. It is common in some regions and useful for the employer, but you may want advice on whether it suits your situation. If your company has a standard disclaimer, replace this sentence with it.
Who Should Sign
The manager block is already laid out for a Human Resources and Administration manager. Replace it with your own details and sign above the line. A company stamp placed beside the signature is customary in many places.
Printing Notes
The brown frame uses solid colour on two corners. Test one copy, and use Fit to page if the edge is clipped. Print on 100 to 120 gsm paper for a firm feel. Keep an electronic copy in the employee file.
