Experience Certificate or Reference Letter?
People leaving a job often ask for two different documents, and it helps to know which is which. A reference letter is a personal opinion written by a manager. An experience certificate is a formal statement from the company: this person worked here, in this role, between these dates. Many employers, universities and visa offices want the second kind, because it is factual. This template is the formal version, laid out as a certificate with a border, a seal and a signature.
Appearance
The page is Letter size landscape, 11 x 8.5 inches. A bright blue border of tiny scrolls and leaves, drawn in light blue on white, runs around the whole page. Solid blue angled pieces sit in the corners, with thin blue brackets inside them. At the top centre, the words Company Name Here lead into a dramatic blackletter heading, CERTIFICATE, with of experience in a quiet serif underneath it.
The text then says This certificate is presented to, with the sample name Mr. Leonardo Dea in blue. A blue divider with a small flourish separates the name from a block of placeholder text. At the bottom centre, a black ribbon rosette with a gold centre sits above a LOGO and slogan placeholder, with Date and Signature lines on each side.
What the Body Should Say
The placeholder paragraph needs to be replaced with real facts. A solid experience certificate covers:
- The person’s full name.
- The job title or titles held.
- The start and end dates, or the word Present.
- The department or location.
- A line about conduct and performance, if the company chooses to give one.
Keep the language neutral and factual. For example: “Mr. Leonardo Dea worked with Northfield Logistics as a Warehouse Supervisor from March 2019 to June 2026. During this period he performed his duties responsibly and with integrity.”
Be Careful With Praise and Promises
Do not write more than you can stand behind. A neutral statement of dates and duties is safe. Strong praise should be true, and any statement about rehiring or recommending should be checked with the person who manages the company’s references. Different countries have different rules about what employers may or must provide, so confirm this with your HR adviser if you are unsure.
Editing and Branding
Replace Company Name Here with the full legal name of the employer, and replace the LOGO with your own mark. The blackletter heading is artwork, so the word CERTIFICATE cannot be edited as text, but the line of words beneath it, of experience, can be retyped to something like of service if you prefer. Keep the original signature and date lines, and have the authorised person sign in ink.
Print Quality
The light blue border is fine, so use a good print quality setting. A 120 to 160 gsm matte paper gives a professional feel. The border reaches the edge, so use Fit to page or a print shop for borderless output.
For a plain letter style layout, see the employment certificate for a resigned employee. For staff recognition rather than proof, see the appreciation and award certificates. Other proofs of employment are in employment certificates.
