Proving a Job You Do From Home
Remote work has a paperwork problem. There is no office address to quote, no badge, no manager down the corridor to vouch for you. Yet remote workers need proof of employment as much as anyone: for housing applications, immigration forms, bank accounts and tax matters. This certificate is built for that gap. It has a line for Remote Work Arrangement and a line for Location, so the letter says plainly that the job is done at a distance, and where the person lives and works.
How the Page Is Arranged
The page is Letter size portrait, 8.5 x 11 inches. A grey border surrounds the page, with a thin double black frame inside it. At the top left, a Date line shows a blank rule. The title CERTIFICATE OF EMPLOYMENT FOR REMOTE WORKERS is set in a heavy, underlined, slightly slab letterform on two lines, in the Rye typeface. The body text is a clean sans serif in Noto Sans.
The letter starts To Whom It May Concern, This is to certify that a blank line, [Nationality], has been employed remotely with [Company Name]. A list of eight lines follows: Position, Department, Employment Type, Remote Work Arrangement (already filled with Fully Remote), Employment Duration (From a blank to a blank, or Currently Employed), Work Hours, Salary and Location. A paragraph says the employee has fulfilled all responsibilities and shown reliability and dedication in a remote environment, and a line states the certificate is issued for any purpose it may serve. A signature block closes the page.
Remote Arrangement Options
- Fully Remote, as printed in the template.
- Hybrid, with the number of office days per week.
- Remote within a country or time zone.
- Remote with occasional travel to the office.
Retype the line to match the contract. Being precise protects both sides, especially when tax or immigration rules depend on where the person works.
The Location Line
This line is the one that sets the letter apart from a standard certificate. Use the city and country where the person actually works, or the country of employment for tax, depending on what the reader needs. If the person moves, issue a new letter rather than editing the old one. Think about privacy: you do not need to give a full home address.
Time Zones and Hours
Work Hours is simple for a fixed schedule, such as 40 hours per week. For flexible schedules, say so and give an average, or the core hours when the person is expected to be available. Banks and agencies find this helpful.
Filling Blank Lines
Most lines in this template are blank rules rather than bracketed prompts. You can type directly in the editor on top of them, or print the page and write by hand. Typed entries look neater, and they avoid mistakes in handwriting.
Printing and Sending
Remote workers often receive the certificate by email. Save it as a PDF and have the signatory sign electronically or print, sign and scan. Keep the paper original available if a bank asks. Use 90 to 100 gsm paper for the printed copy.
For staff who work on a defined contract, see the project-based employees certificate. For short contracts, see the temporary employees certificate. More are in employment certificates.
