Clubs, gyms, associations and societies collect membership fees every year, and every member who pays expects a record. A membership fee payment voucher gives the club an approved record of the payment and gives the member proof that their subscription is paid. This half-letter template makes it a pleasure to receive: on the left sits a dark green membership card with a gold chip, as if the card itself had been tucked into the envelope.
A Membership Card on the Left
The left side of the voucher is a pale green panel. On it, a dark green membership card with rounded corners sits on top of a second, slightly rotated card, as if they were stacked. The card carries a gold chip, the club name “HILLCREST Tennis & Golf Club”, a gold stripe labelled “MEMBER”, the member’s name (Robert Ellison) and member number (01482). Below the card, “Membership fee” and “Payment voucher” are centred above the voucher number, MF-2027-0114, in gold. The logo sits at the bottom of the panel.
Member and Year Details
On the right, a three-row table records the member and plan (Robert Ellison, family plan), the membership year (January 1 to December 31, 2027) and the date paid (December 12, 2026).
The Fee Table
Membership fees often include several items. The table lists each with its period and amount:
| Fee item | Period | Amount |
|---|---|---|
| Annual dues (family) | 2027 | 1,450.00 |
| Court booking credit | 2027 | 120.00 |
| Locker rental #22 | 2027 | 90.00 |
| Early renewal discount | 5% of dues | (72.50) |
The early renewal discount is 5% of the annual dues, shown as a negative amount so the member sees the saving. A green total row shows the total paid, $1,587.50.
Card, Cheque or Bank: Recording How the Member Paid
Three small tick boxes record the payment method (card is ticked, with cheque and bank transfer as options), and the amount in words reads “One Thousand Five Hundred Eighty-Seven and 50/100 dollars”.
What Membership Includes
A box reminds the member what their subscription buys: off-peak court time, four guest passes, member events and a 10% pro-shop discount. Listing benefits on the voucher reinforces the value of renewing, and it answers questions members often ask the front desk.
Signatures
Two signature lines close the voucher: one for the member and one for the membership office. For card payments taken online, the member’s signature can be replaced by a transaction reference.
Half-Letter Size for Club Mailings
The voucher is 8.5 x 5.5 inches, half a sheet of US Letter. It fits into a standard envelope folded once, or into a welcome pack without folding. Two vouchers print on one sheet.
Clubs and Organisations That Use It
- Tennis, golf, sailing and sports clubs.
- Gyms, fitness studios and swimming clubs.
- Professional associations and trade bodies.
- Alumni associations and parent-teacher groups.
- Hobby societies, book clubs and community groups.
- Museums and galleries with friends or patron schemes.
Running Renewal Season Smoothly
- Set the new fees and any early renewal discount.
- Send renewal reminders with the deadline for the discount.
- As payments arrive, prepare a voucher for each member.
- Update the membership register and issue new cards.
- Send each member their voucher as confirmation.
Fees, Dues and Tax Treatment
In some places, membership fees for social clubs are subject to sales tax or VAT, while fees for charities or professional bodies may be treated differently. If your club charges tax, add a line to the fee table and show the tax separately.
Club Colours on the Membership Card
The forest green and gold palette suits traditional sports clubs. Recolour the card, panel and table header to your club colours; the card is made of shapes, so you can add your crest or logo on top of it.
Family, Individual and Concession Plans
Most clubs offer several membership categories: individual, couple, family, junior, student and senior, often with joining fees for new members. The plan is named in the member table, so the voucher always shows which category the member paid for. When a member changes category mid-year, issue a new voucher for the difference rather than editing the old one.
Keeping the Membership Register in Step
Every voucher should match an entry in the club’s membership register: member number, plan, year and amount. Checking the register against the vouchers at the end of renewal season shows who has not yet renewed and catches payments recorded against the wrong member.
Refunds and Pro-Rata Fees
Members who join mid-year may pay a pro-rata fee, and members who leave may ask for a partial refund. State your club’s rules in the membership terms, and when you apply them, show the calculation as a line in the fee table, such as “Pro-rata, 6 of 12 months”.
A Friendly Welcome for New Members
For first-year members, the voucher can double as a welcome. Add a short note to the benefits box, such as “Welcome to Hillcrest, your first guest pass is on us”, and include it in the welcome pack with the membership card.
