In Pakistan, India, Bangladesh, Nigeria and many other countries, parents pay school fees at a bank using a fee voucher, often called a fee challan. The school prints one sheet with three identical copies side by side: the bank keeps one, the school keeps one after the bank returns it, and the parent keeps one as a receipt. This template recreates that familiar format with a clean, modern design, ready for any school to customise and print every month.
Three Copies, One Sheet
The landscape page is divided into three tall columns, separated by dotted cut lines with a small scissors symbol at the top of each. Each column is a complete voucher with a coloured copy label: a blue pill reading “BANK COPY”, a green one reading “SCHOOL COPY” and an orange one reading “STUDENT COPY”. Different colours help bank tellers and school clerks pick out their copy instantly.
School Header
Every copy starts with a navy band holding a round crest with the school’s initials, the school name (the sample is Crescent Valley School, Gulberg Campus, Lahore) and a phone number. Replace the initials in the crest with your own, or place your school logo over the circle.
Student Details
A six-row table identifies the payment: challan number (FV-26-11-0482), student name, roll number, class and section, the fee month and the due date. The challan number links the payment to the student’s account in the school’s fee system, so it should be unique for every voucher.
The Fee Head Table
Each copy lists the fee heads for the month with amounts in rupees:
Fee headRs.Tuition fee (November)8,500.00Computer lab fee600.00Science lab fee500.00Transport (Route 4)2,200.00Exam fee (term 2)900.00Arrears0.00
Edit the heads with Edit Table Data: add admission fees, sibling discounts, sports fees or library fines as needed. Remember to make the same change on all three copies so they match.
Due Date and Late Fee
Two highlighted totals rows follow: total payable by the due date, Rs. 12,700.00, and the amount after the due date with a Rs. 300 late fee, Rs. 13,000.00. Printing both amounts lets the bank accept late payments without phoning the school. The amount in words, “Rupees Twelve Thousand Seven Hundred only”, sits underneath.
Bank Instructions and Stamp
A line tells parents where to pay and gives the school’s account number. At the bottom of each copy, a dashed box is reserved for the bank stamp, with a signature line for the cashier or officer. A voucher is only proof of payment once it carries the bank stamp.
How Parents Use the Challan
- Receive the printed voucher from school or download it from the school portal.
- Take all three copies to a branch of the named bank before the due date.
- Pay the amount shown; the teller stamps all three copies.
- Keep the student copy; the bank keeps its copy and returns the school copy.
- Keep the student copy safe until the end of the session, as the footer advises.
Preparing Vouchers for a Whole School
Schools usually print vouchers for every student each month or term. Make one master file per class with the common fee heads, then change the student name, roll number, challan number and transport fee for each child. For large schools, a fee management system can generate the details, and this design can serve as the printed layout.
Online and Mobile Payments
Many banks now let parents pay challans through internet banking, mobile apps or payment networks by entering the challan number. If your bank supports this, add a line such as “Pay online using challan no. FV-26-11-0482” to each copy.
Naira, Taka or Urdu Labels for Your Parents
Every label is editable text. Change “Rs.” to naira, taka or shillings, rename “challan” to “fee voucher” or “fee slip”, and translate labels into Urdu, Hindi or another language if your parents prefer. If you add text in another script, check the preview to make sure it displays correctly.
School Colours on the Header Band
The navy, green and orange palette is clear and professional. Change the header band to your school colour, but keep the three copy labels in different colours; that difference is what makes the copies easy to sort.
Keeping the Three Copies Together Until Stamped
The page is US Letter landscape, 11 x 8.5 inches. For A4 printing, change the document size to A4 landscape in the editor. Print on plain paper; banks generally prefer copies that are cut apart only after stamping, so leave the sheet whole when you send it home.
Reconciling Bank Copies With Student Accounts
Once the bank returns the school copies, or sends a collection statement, the accounts office matches each challan number to the student’s fee record and marks it paid. Unique challan numbers make this quick and accurate. Students whose challans have not come back by the due date can be sent a reminder, and the late-fee amount is already printed for them.
Fee Concessions and Scholarships
Schools often give concessions to siblings, staff children or scholarship students. Show the concession as its own line with a negative amount rather than reducing the tuition figure, so parents see the full fee and the support they are receiving, and so the school’s records show the cost of its concessions.
