Business insurance premiums are often paid in instalments: monthly, quarterly or every two months. Each payment needs a voucher, and over a policy year those vouchers tell the story of the policy: what was covered, what was paid, when, and what is still due. This insurance premium payment voucher keeps that whole story on one page, under a big striped umbrella that shelters the title, the universal symbol of protection.

An Umbrella Over the Title

The top of the page is a wide umbrella canopy made of seven panels in alternating deep and bright blue, with a scalloped white edge where the fabric dips between the ribs. A small orange caption reads “INSURANCE PREMIUM” and the title “Payment Voucher” is set in white Nunito on the canopy. Below it, a thin shaft drops down to a curved hook. The logo sits on a white plate in the top-right corner.

Voucher and Policy Details

Two side-by-side tables record the payment and the policy. On the left: voucher number IPV-2026-0219, payment date August 1, 2026, the business paying (Lumen Bakery LLC) and the payment method (ACH with a reference number). On the right: the insurer (Harborline Mutual), policy number, policy type (a business owner’s policy) and the policy term, February 1, 2026 to January 31, 2027.

Cover Summary at a Glance

A row of rounded chips summarises what the policy covers: property cover of $350,000, general liability of $1 million, business income and equipment breakdown, all highlighted, with cyber cover shown in grey as not included. Seeing the cover on the voucher reminds whoever approves the payment what the business is paying for, and highlights gaps like cyber cover that may be worth discussing at renewal.

The Instalment Schedule

The main table shows every instalment in the policy year:

NumberDue datePremiumStatus
1Feb 1, 2026$810.00Paid
2Apr 1, 2026$810.00Paid
3Jun 1, 2026$810.00Paid
4Aug 1, 2026$810.00Paying with this voucher
5Oct 1, 2026$810.00Due
6Dec 1, 2026$810.00Due

The full table also records the date each instalment was paid and the insurer’s receipt number. The current instalment row is bold, with “Paying” in orange, so it stands out from the paid and future rows.

Totals and Remaining Balance

A totals table shows instalment 4 of 6 at $810.00, no policy fee and the amount paid, $810.00, highlighted in orange. Beside it, the amount in words reads “Eight Hundred Ten and 00/100 US dollars”, and a second box notes the remaining balance on the policy: $1,620.00 in two instalments, from an annual premium of $4,860.00.

Why Track Instalments on Every Voucher

A missed instalment can lapse a policy, and a lapsed policy can mean an uninsured loss. Showing the full schedule on each voucher makes it obvious if a previous payment is missing, and the remaining balance helps with cash-flow planning. It also makes the insurer’s annual statement easy to reconcile.

Paying a Premium, Step by Step

  1. Check the insurer’s notice against the schedule on the last voucher.
  2. Confirm the policy is still the right cover for the business.
  3. Prepare the voucher, marking this instalment as paying.
  4. Get it approved and make the payment.
  5. Record the payment date and the insurer’s receipt number in the table.

Other Kinds of Insurance

The same layout works for vehicle fleet insurance, workers’ compensation, professional indemnity, health insurance for staff, equipment insurance and life insurance premiums paid by a business. Change the cover chips and the policy type, and adjust the schedule for monthly, quarterly or annual payments.

Prepaid Insurance in the Accounts

When a business pays an annual premium up front, accountants usually record it as a prepaid expense and spread it across the months the policy covers. With instalments that match the cover period, as here, each payment is often simply expensed. Ask your accountant which treatment suits your books; the voucher supports either.

Retyping Instalments and Cover Chips

Use Edit Table Data to change dates, amounts and receipt numbers; add rows with Add Row for monthly plans. The cover chips are shapes with text, so retype them or add more by duplicating one.

Changing the Umbrella Colours

The canopy is a group of panels and scallops. Recolour it to your company palette, or alternate two shades of green or red. Keep good contrast behind the white title text.

Filing Premium Vouchers With the Policy

Download As PDF and print on letter paper. File each voucher with the insurer’s payment notice and receipt, and keep the set with the policy documents for the year. When a claim arises, proof that premiums were paid on time can matter.

Reviewing Cover at Renewal

Each renewal is a chance to check that the policy still fits the business. Has the business bought expensive equipment, moved premises, hired staff or started selling online? The cover chips on the voucher are a quick prompt: if something important is grey, or not listed at all, talk to your broker before the next premium falls due.

Direct Debit and Late Payment

Many insurers offer direct debit for instalment plans, which reduces the risk of a missed payment. If a payment does fail, insurers usually give a short grace period before cover lapses. Record any failed or late payment on the voucher’s schedule, with the date it was finally paid, so the history is complete.
