Buying a server, a fleet of laptops or a conference room display is not like paying an ordinary bill. These purchases are fixed assets: they last for years, they are recorded on the balance sheet rather than written off at once, and they need asset tags, register entries and a depreciation schedule. A fixed asset purchase payment voucher connects the payment to all of that. This A4 template does it in one page, with a stack of isometric crates in the corner as its motif.
Isometric Crates in the Corner
The top-right corner holds three isometric cubes, two teal and one orange, stacked like crates in a stores room, each drawn with a light top, a mid-tone left face and a dark right face. On the left, an orange caption reads “Capital expenditure” above the two-line title “Fixed Asset Purchase Payment Voucher” in teal Space Grotesk, with the logo beneath.
CAPEX and Supplier Details
Two tables under the title record the internal and external references. Internally: voucher number FA-PV-26-019, date 14 April 2026, the approved capital expenditure request (CR-2026-07) and the budget line (IT equipment 2026). Externally: the supplier (Northgate Systems Ltd), its invoice number, your purchase order and where the assets were delivered (head office, floor 3).
The Assets Acquired Table
Each asset or batch of identical assets gets its own line, with the asset tag numbers assigned, description, quantity, unit cost, total cost and useful life:
| Asset tag | Description | Qty | Total cost | Life (years) |
|---|---|---|---|---|
| FA-IT-0441 | Rack server | 1 | 7,850.00 | 5 |
| FA-IT-0442 | UPS 3 kVA rack unit | 1 | 1,290.00 | 5 |
| FA-IT-0443 to 0452 | Laptop, 14 inch, i7, 32 GB | 10 | 11,800.00 | 3 |
| FA-OF-0127 | Conference room display, 75 inch | 1 | 2,140.00 | 5 |
Recording the tag numbers on the voucher means every physical tag on a machine can be traced back to the payment and the supplier invoice.
Cost, VAT and Total Paid
A totals table shows the net cost of £23,080.00, VAT at 20% (£4,616.00, marked reclaimable) and the total paid, £27,696.00, highlighted in orange. The amount in words is written beside it. For VAT-registered businesses, the reclaimable VAT is not part of the asset’s cost, which is why it is shown separately.
The Capitalisation Journal
A second table shows the accounting entry for the purchase, with debits and credits:
- Debit 1610 Computer equipment (cost): £20,940.00.
- Debit 1620 Office furniture and fittings (cost): £2,140.00.
- Debit 2201 VAT input: £4,616.00.
- Credit 1010 Bank, current account: £27,696.00.
Showing the entry on the voucher lets whoever posts it to the ledger do so without guesswork, and lets a reviewer check that the display was classed as furniture and fittings rather than computer equipment.
Asset Register Checks
Four tick boxes confirm the follow-up work: tags fixed to the assets, register entries created, depreciation starting in May 2026, and the insurance schedule updated (still unticked in the sample). These are the steps most often forgotten after a big purchase, and an unticked box is a clear reminder.
Four Signatures
Signature lines for the requester, the IT manager, the financial controller and the person who made the payment run across the bottom, above a teal band. Capital purchases usually need a higher level of approval than routine payments, and the CAPEX request reference shows that approval was given before the order was placed.
Capitalisation Thresholds
Most organisations set a capitalisation threshold: items costing less than, say, £500 or $2,500 are expensed immediately, while items above it are recorded as assets. Laptops at £1,180 each may fall either side depending on your policy. State your threshold in your accounting policy and apply it consistently.
Useful Lives and Depreciation
The Life column records the useful life used for depreciation: three years for laptops, five for the server, UPS and display in the sample. Straight-line depreciation spreads the cost evenly over those years. Your accountant may use different lives, or tax rules may allow faster write-offs, but recording the intended life at purchase keeps the register consistent.
Processing an Asset Purchase, Step by Step
- Confirm the CAPEX request was approved before ordering.
- Match the supplier invoice to the purchase order and delivery note.
- Assign asset tags and list them on the voucher.
- Prepare the capitalisation entry and totals.
- Get approvals, pay, and complete the register checks.
Crate Colours to Match Your Brand
The teal and orange palette suits technology and operations teams. Recolour the cubes, title and table headers to your company colours; the cubes are a single group with three shades each, so choose light, medium and dark versions of your colour.
Filing Asset Vouchers for Audit
Download As PDF and file each voucher with the supplier invoice, purchase order and CAPEX approval. Auditors test fixed asset additions by tracing register entries back to these documents, so a complete pack saves time at year end.
Leasing Versus Buying
Before a capital purchase, many organisations compare buying with leasing. Leasing spreads the cost and can include maintenance, while buying usually costs less over the asset’s life. If you buy, this voucher records the purchase; if you lease, the payments go through ordinary payment vouchers and the lease is accounted for under the relevant leasing rules. Note the decision on the CAPEX request so it is clear why the asset was bought.
Disposing of Old Assets
New equipment often replaces old. When the old server or laptops are sold, scrapped or donated, record the disposal in the register and remove them from the books. A short note on the new purchase voucher, such as “Replaces FA-IT-0207”, links the two events and stops retired assets lingering on the balance sheet.
