Every December, teachers send home a letter about the class Christmas party: when it is, what children can wear, and how parents can help with food, supplies, and volunteering. This US Letter template makes that letter cheerful and organised. It looks like a page from a school notebook, with blue ruled lines and a red margin, a green header with a string of coloured lights and a small decorated tree, the party details in friendly Patrick Hand handwriting, a real sign-up table for snacks, supplies, and helpers, and a tear-off RSVP slip at the bottom.
Why a Parent Letter Works
Parents receive many messages in December, and a clear, friendly letter helps the class party stand out. Putting the date, time, dress-up option, sign-up list, and RSVP in one place saves the teacher from answering the same questions repeatedly. The tear-off slip makes it easy for parents to reply on paper, which suits families who prefer paper to apps, and gives the teacher a simple way to track responses.
The Notebook Page Design
The page has pale blue ruled lines and a pink margin line on the left, like a sheet of school writing paper. A green header band at the top holds the teacher’s class name in small yellow handwriting and Class Christmas Party! in large white Chewy lettering. A string of multicolour bulbs hangs across the bottom of the header, and a small decorated tree sits in the top right. The letter is written in Patrick Hand, a friendly handwriting font that is easy for parents to read.
What the Letter Says
The sample letter begins Dear families, and explains that the party is on Friday, December 18, from 1:30 to 2:45 PM in Room 12. Children will decorate cookies, play reindeer games, and hear a holiday story, and may wear festive sweaters or pyjamas. The second paragraph asks parents to sign up for a snack, a supply, or a volunteer slot, to return the RSVP slip by December 11, and to share food allergies. Edit the text to match your own plans and school policies.
The Snack and Volunteer Sign Up Grid
The sign-up table is a real editable table with three columns: Item or job, How many, and Parent name. The sample rows list sugar cookies, icing and sprinkles, juice boxes, napkins and plates, a craft helper slot, and a clean-up helper slot, with the Parent name column left empty for parents to write in. In the editor, double-click the table or choose Edit Table Data to change items and quantities, and use + Row to add more. On paper, parents write their names in the empty cells, or the teacher updates the table digitally as replies arrive.
The Tear-Off RSVP Slip
A dashed line across the lower part of the page marks where to cut, labelled CUT HERE. Below it, the RSVP slip asks parents to return it by December 11 and has lines for the child’s name, the parent’s name, what they can bring, and any allergies. Parents cut along the line and send the slip back to school in the child’s bag.
Planning a Classroom Party
A classroom party usually lasts about an hour. A simple plan includes a craft, such as decorating paper ornaments or cookies, a game or two, such as freeze dance to Christmas songs or a winter-themed bingo, a snack, and a story read aloud. Keep activities inclusive, mindful that some children may not celebrate Christmas; many schools call it a winter or holiday party for this reason. Check school policies on food, allergies, and photography before planning.
Food Allergies in the Classroom
Food allergies are common in school classrooms, and many schools have nut-free or allergy-aware policies. Ask parents to share allergies on the RSVP slip, check all food against the class’s allergy list, and prefer store-bought snacks with ingredient labels over homemade food if your school requires it. Consider non-food activities and treats, such as stickers or small toys, so every child can fully participate.
Editing the Letter
Change the teacher’s name and class in the header, edit the letter text, update the sign-up table, and adjust the RSVP slip fields. Replace the email in the thank you line. The header colour, lights, and tree can be recoloured; select each to change it. For a winter rather than Christmas party, change the title to Class Winter Party and the tree to a snowman from the Elements panel.
Printing a Copy for Every Book Bag
Download a PDF and print on US Letter paper, one copy per child, to send home in school bags. The light background prints economically on school printers. Many teachers also email the letter as a PDF or post it on the class app, so parents can sign up digitally.
Volunteers on the Day
Parent volunteers make classroom parties run smoothly. Confirm volunteers a few days before, share the plan and timing, and check any school requirements for volunteers, such as background checks or signing in at reception. Assign each volunteer a station, such as cookie decorating or crafts.
Thanking Families Afterwards
After the party, send a short thank-you note to families who helped, perhaps with a class photo if your school permits sharing. Gratitude encourages parents to volunteer again for future events.
Classroom Party Letter Questions
Can I print it on A4?
Yes. Print with fit to page; the layout scales slightly but remains clear.
Can I add the school logo?
Add a shape in the header and use Replace Image to place the logo.
Is the table text editable?
Yes. Double-click the table or choose Edit Table Data.
Finally, keep a copy of the completed sign-up list on the classroom door so volunteers can check their roles on the day.
