Make Daily Student Attendance Clear, Quick, and Easy to Review
Taking attendance is a routine part of the school day, but the record itself needs to remain clear enough to understand later. This Attendance Sheet Template gives teachers a structured way to record which students are present, absent, late, or excused, while also keeping important class information and attendance totals together.
Unlike a very basic name-and-date checklist, this design includes areas for Teacher Name, Class/Grade, Month, School Name, Student Names, individual dates, Present and Absent totals, Total Students, and Attendance Rate. It also includes a handy attendance-code key directly on the sheet.
The template is customizable using our online editor, so you can adapt the sample content to your own classroom. You can start editing directly in your browser without creating an account or logging in. When your attendance sheet is ready, download it as a PDF, PNG, or JPG.
Start with the Essential Class Details
The top portion of the template is dedicated to Attendance Details. This makes it easy to identify the record before looking at individual attendance entries.
There are four main information fields:
Teacher Name – Enter the name of the teacher responsible for the class.
Class / Grade – Identify the grade, class, section, or group whose attendance is being recorded.
Month – Add the month and year covered by the attendance record.
School Name – Enter the name of your school or educational institution.
Keeping these details on the same page as the attendance table can be especially helpful when you save or print multiple attendance records.
Record Attendance Student by Student
The main table is designed around individual students.
The Student Name column appears first, followed by separate date columns. Each student gets their own row, so you can move across the row and record their attendance status for each listed school day.
The sample design demonstrates five dates, from 1-Sep through 5-Sep, but the template is editable. You can customize the information to better match the period you want to track.
For example, after entering a student’s name, move across the row and place the appropriate attendance code under each date. This creates a compact record that can be scanned quickly without writing lengthy attendance descriptions every day.
Four Simple Attendance Codes Are Already Explained
To keep daily entries short, the template provides a clear code key:
P = Present • A = Absent • L = Late • E = Excused
Using short codes helps keep the table uncluttered while still allowing you to distinguish between different attendance situations.
For example, a student who attended normally could receive P, while an absent student could receive A. If you need to distinguish lateness or an excused attendance status, L and E are available as well.
Because the key is displayed directly on the sheet, you do not have to rely on memory when reviewing the record later.
See Present and Absent Totals Beside Each Student
Daily marks are useful, but sometimes you want a faster summary.
The template includes dedicated Present and Absent columns on the right side of the attendance table. These can be used to record the total number of present and absent entries for each student over the period shown.
This provides two ways to read the sheet.
You can look across an individual student’s row to see their attendance on particular dates, or check the summary columns for a quick overview of their attendance record.
That combination makes the sheet useful for both daily recording and simple attendance review.
Keep an Overall Class Summary at the Bottom
The template goes beyond individual student rows by including two summary areas at the bottom:
Total Students provides a place for the overall number of students in the class or group.
Attendance Rate provides a place for the overall attendance percentage.
These fields can make the completed sheet easier to review because key class-level information is visible without needing to inspect every row individually.
Keep in mind that this is an editable visual template rather than an automated attendance-management system. If you change the underlying attendance entries, make sure any totals and percentages shown on the final sheet are also updated accurately.
How to Calculate the Attendance Rate
If you want to include an overall attendance percentage, it is important to calculate it consistently.
For a simple class attendance rate, you can use:
Attendance Rate = Total Present Attendances ÷ Total Possible Attendances × 100
For example, imagine 20 students were expected to attend on five school days. That creates 100 possible attendances. If there were 94 present attendances, the attendance rate would be:
94 ÷ 100 × 100 = 94%
Your school or organization may use its own rules for calculating attendance, particularly when late or excused entries are involved. If so, follow the method required by your institution.
A Practical Sheet for Short Attendance Periods
The sample template displays five individual date columns, which makes it especially convenient for a short attendance period or school week.
You could prepare a fresh sheet for each week and label it with the appropriate month. This can keep individual pages easy to read rather than trying to squeeze a large number of dates into one small table.
It may also be useful for short courses, tutoring programs, workshops, training sessions, summer classes, or other educational programs where attendance only needs to be recorded for a limited number of meetings.
Because the content can be customized online, the layout is not restricted to the sample names and dates shown in the preview.
Replace the Sample Information with Your Own
The preview demonstrates how a completed attendance record might look by using sample teacher, school, class, student, date, and attendance information.
When creating your own sheet, replace these examples with information relevant to your classroom.
You might customize:
- The teacher’s name
- School or institution name
- Class or grade
- Month and year
- Student names
- Attendance dates
- Daily P, A, L, or E entries
- Present and absent totals
- Total number of students
- Overall attendance rate
This gives you a ready-made structure while still allowing the finished attendance sheet to reflect your own class.
Useful for Teachers and Other Educators
Although designed as a teacher attendance resource, the straightforward layout can work in several educational situations.
A classroom teacher can use it for daily student attendance. A tutor could record participation across several sessions. Homeschooling parents may adapt it to document learning days or scheduled lessons. Instructors and trainers could use the same basic structure for courses or workshops.
It may also be suitable for clubs and educational programs where a simple record of attendance is required.
Because fields such as school name, grade, and dates are customizable, you can adapt the sheet instead of being limited to the example shown.
Why This Layout Is Easy to Read
Attendance records can contain a surprising amount of information, so organization matters.
This template separates information into three logical parts. The Attendance Details area identifies the record, the central table handles individual student attendance, and the bottom summary provides overall figures.
Clear column headings make it easy to understand where each piece of information belongs. The contrasting orange, dark teal, cream, and white design also helps distinguish headings and data areas while maintaining a professional school-oriented appearance.
Most importantly, the table remains the visual focus of the page.

Download as PDF, PNG, or JPG
Once you have finished customizing your Attendance Sheet Template, you can download the final version in PDF, PNG, or JPG format.
PDF is a convenient choice when you want to print the attendance sheet or save it with other classroom documents. PNG and JPG are useful when you prefer to keep the completed sheet as an image for digital reference.
If you plan to use printed copies, you can keep them in an attendance binder, teacher folder, clipboard, or another secure location according to your school’s recordkeeping procedures.
Helpful Tips for Maintaining Clear Attendance Records
For the sheet to remain useful, try to record attendance consistently. Decide how you will use P, A, L, and E before beginning and apply those codes in the same way throughout the record.
Check student names and dates carefully before completing the sheet, and update the Present and Absent totals when necessary. If you display an attendance rate, verify that the percentage matches the attendance information recorded on the page.
Attendance information may also be treated as a student record in some educational settings, so completed sheets should be stored and handled according to the privacy, attendance, and recordkeeping requirements that apply to your school or organization.
