When a teacher moves to a new school, applies for a promotion, registers with a teaching council, or applies for a visa, one document is almost always requested: an experience certificate from the previous employer. It confirms who the teacher is, what they taught, and exactly how long they served. Because it is an official record, the format matters. It should look like it came from the school, be clear enough to verify at a glance, and contain no ambiguity about dates or designation.

This template gives school offices a ready-made, professional layout on a single A4 portrait page (210 x 297 mm).

Layout of the Certificate

The page is designed as proper school letterhead. A deep maroon ribbon with a thin gold line runs down the left edge. At the top left is a round logo slot framed in gold, next to the school name in bold Libre Baskerville capitals, a motto line in gold italics, and a line for the address, phone number, and email. A double rule, maroon over gold, separates the letterhead from the body.

Below it are Ref.No. and Date lines, the title EXPERIENCE CERTIFICATE in Cinzel capitals with a small gold diamond ornament, and the salutation To Whom It May Concern. The body has three parts: an opening statement of employment, a details table, and a closing paragraph on conduct. At the bottom are a dashed circle marked School Seal for the official stamp and the principal’s signature block.

The Details Table

The heart of the certificate is a two-column table, so the key facts can be checked quickly by an HR officer or an embassy clerk. The rows are:

  • Name of teacher
  • Designation (for example, Trained Graduate Teacher or Senior Teacher)
  • Subject(s) taught
  • Classes taught
  • Period of service, with exact start and end dates
  • Additional duties, such as class teacher, house master, or club in-charge

Double-click the table to open Edit Table Data and type the details. You can add rows with + Add Row, for example, for Employee ID, Qualification, or Reason for leaving if your policy includes it.

What an Experience Certificate Must Include

Use this checklist before signing any experience certificate. Missing items are the most common reason a certificate is rejected by a new employer or authority.

ItemWhy it matters
Official letterhead with address and contact detailsAllows the reader to verify the certificate with the school.
Reference number and issue dateLinks the document to the school’s records.
Full name exactly as in official recordsMust match the teacher’s ID documents.
Designation and subjectsConfirms the level and area of experience.
Exact dates of joining and leavingUsed to calculate total years of experience.
Remarks on work and conductGives the new employer a character reference.
Principal’s signature and school sealMakes the document official.

Sample Wording for Different Situations

The template’s opening and closing paragraphs are editable text. Here are alternatives for common cases.

Teacher still employed

This is to certify that Mr. Daniel Thomas has been working at our school as a Primary Teacher since 3 June 2021 and continues to serve in this position as of the date of issue.

Part-time or visiting teacher

This is to certify that Ms. Laila Hassan worked at our school as a part-time Art Teacher, teaching six periods per week, from 1 August 2022 to 30 April 2024.

Short contract

This is to certify that Mr. Jonas Weber served as a substitute Mathematics Teacher on a fixed-term contract from 10 January 2025 to 31 March 2025.

Experience Certificate or Relieving Letter?

The two documents are often confused. A relieving letter confirms that the employee has resigned, completed notice, and handed over their responsibilities, so they are free to join another employer. An experience certificate describes the service itself: role, subjects, duration, and conduct. Many schools issue both on the teacher’s last working day. This template is the experience certificate; if you also need a relieving letter, add a second page with Add Page and reuse the letterhead.

Filling In the Letterhead

  1. Click the round logo slot and choose Replace Image to upload your school crest. It fills the circle and keeps the gold ring around it.
  2. Type the school name, motto, address, phone, and email in place of the sample text.
  3. Change the maroon to your school colour if needed by selecting the edge ribbon, the rules, and the title in turn and picking the new colour for each.
  4. Save the design once as your school’s master copy, so each new certificate only needs the teacher’s details.

Writing the Conduct Remarks Fairly

The closing paragraph is the only part of the certificate that expresses an opinion, so it deserves care. Keep it factual and professional. Mention qualities you can stand behind, such as punctuality, subject knowledge, rapport with students, or contribution to school events. Avoid exaggeration, which can undermine the credibility of the whole document, and avoid negative remarks, which belong in a confidential reference rather than a certificate the teacher will carry. If the school has a standard sentence for all experience certificates, use it consistently so no teacher’s certificate appears weaker by comparison.

Printing and Issuing

Download a PDF and print on A4 at Actual size, ideally on good 100 gsm bond paper. Sign in blue or black ink over the printed line and stamp the seal inside the dashed circle. Keep a copy in the teacher’s personnel file and record the reference number in your issue register. If the teacher needs to send it abroad, a clear PDF scan of the signed and stamped original is usually accepted for the first stage of an application.

Experience Certificate FAQs

Can it be printed on US Letter paper?

Yes. Choose Fit to page when printing; the margins are generous enough that nothing will be cut off.

Should the principal’s name be typed as well as signed?

Yes. The template shows the name in script above the line and typed underneath, so the signatory is always identifiable.

Can a teacher fill this in themselves?

The certificate must be issued and signed by the school. Teachers can share the template with their school office to make the request easier.

A Clear Record of Good Service

An experience certificate is often the last document a school gives a departing teacher, and one they will use for years. Set up your letterhead once, fill in the details carefully, and issue it with the seal and signature it deserves.
