A dinner party at home doesn’t need a professional caterer to feel special. A few candles, a thoughtful menu, and a card with each guest’s name at their seat do most of the work. This Dinner Party Menu Card Template combines two things hosts usually make separately: a menu and a place card. Each card carries one guest’s name above the evening’s courses, so your table looks carefully planned, and everyone knows where to sit.

Candles, Terracotta and a Name

The card is 4 x 9 inches, portrait, the classic tall menu-card shape that fits on a dinner plate. The top third is a warm terracotta block. Three cream pillar candles of different heights stand on its lower edge in deep rust holders. Each has a golden flame with a pale centre and a soft glow around it. AN EVENING AT THE MORGANS is written in small spaced capitals at the top.

Below the candles, on a warm cream background, the guest’s name, Olivia, is written in large terracotta Sacramento script, the personal touch that makes this a place card. The date and time follow in olive capitals: SATURDAY, OCTOBER 17 · 7:30 PM.

Small olive leaf dividers with a terracotta berry frame the menu, which has four courses:

  • To Start: roasted beet salad with whipped goat cheese, hazelnuts, and orange.
  • The Main: braised short ribs with creamy polenta and roasted carrots.
  • Something Sweet: dark chocolate pots de crème.
  • To Pour: Côtes du Rhône and sparkling water, with espresso and amaro to finish.

Each course has a terracotta label in spaced capitals, the dish in Playfair Display, and an italic description underneath. A terracotta band at the foot echoes the top, with one small lit candle on the left, So glad you could join us in cream script, and our logo.

One Card per Guest, in Minutes

The only thing that changes from card to card is the guest’s name. Here is a quick way to make a set:

  1. Finish the shared details first: the host line, date, time, and all four courses. Proofread everything, because every card inherits it.
  2. Type the first guest’s name in place of Olivia and download the card as a PDF or PNG.
  3. Change the name to the next guest and download again. Repeat for everyone at the table.
  4. Or put several guests in one file: use Add Page to add a page, copy the finished card onto it, change the name, and repeat. You then download one PDF with a page per guest.
  5. Print and trim: two cards fit side by side on a sheet of letter-size card stock.

A short, familiar name works best in the large script. For guests with long names, use a first name or a nickname, or reduce the font size slightly.

A Host’s Dietary Cheat Sheet

Personal cards make it easy to accommodate guests with different needs without anyone feeling singled out. Before you print, make a quick list like this, then adjust individual cards:

GuestNeedChange on their card
OliviaNoneStandard menu
SamVegetarianMain: mushroom and chestnut ragù with polenta
PriyaNut allergyStarter: beet salad with toasted sunflower seeds instead of hazelnuts
LeoNot drinkingTo Pour: sparkling cranberry and rosemary spritz

Each guest sees a menu made for them, and your kitchen plan is written down in the same place.

Changing the Look

  • Colours: the terracotta block and footer band can take any colour. Deep green, navy, or plum all work with cream candles for a winter dinner, and sage or blush suit spring.
  • Candles: each candle is a group (wax, holder, wick, flame and glow). Resize, move, or delete one, or add a fourth for a larger table.
  • Leaf dividers: they are grouped too, so they recolour from the colour swatches, for example, to gold for a festive dinner.
  • Fonts: swap Sacramento for another script, such as Great Vibes or Allura, if you’d like a more formal look.

Planning a Four-Course Menu at Home

The courses on the sample card were chosen with a home cook in mind. Beet salad can be assembled ahead, short ribs braise quietly in the oven while you greet guests, and pots de crème are made the day before and chilled. When you plan your own menu, aim for only one dish that needs last-minute attention, and balance rich courses with lighter ones. If you are unsure, serve the same wine throughout and finish with espresso. Guests remember the atmosphere more than the number of plates.

Paper and Table Styling

Print on a heavy, soft-textured card, such as 110 lb cream or natural white stock with a matte or felt finish, which suits the candlelit colours. Home printers handle 4 x 9 cards easily when you print two per letter sheet and trim. On the table, lay a card across each folded napkin, tuck it under the rim of a charger plate, or stand it against a wine glass. A sprig of rosemary or a small eucalyptus leaf beside each card adds a lovely scent and ties in with the leaf dividers.

Dinner Host Questions

Can I use it without guest names?

Yes. Replace the name with a title such as Supper Club or Menu and print identical cards for everyone.

Does it suit holiday dinners?

It works well for Friendsgiving, Christmas Eve, birthdays and anniversaries. Change the host line and recolour the top block to suit the occasion.

How far ahead should I print?

A day or two before is ideal. The guest list is settled, and there’s still time to fix a misspelled name.

Can I add a seating plan?

Add a small line under the date with the table or seat, such as Seat 3 · next to Sam, or keep a separate seating chart by the door.

Light the Candles

Set your menu, write each guest’s name, and print a card for every place. When your friends sit down and find their name by candlelight, the evening has already started well.
